Biometric Proof of Presence and Attendance
Monitoring for Rota Master Users

This new module automatically captures your workforce time and attendance data using the very latest fingerprint recognition technology. The data is processed directly to your Rota Master database in line with your organisation’s pre-configured time and attendance policy rules.

"We have been Rota Master users since 2007 and we have recently worked closely with IQUS to shape the development of its new time and attendance module. We can now accurately record and monitor staff attendance data entirely automatically through Rota Master, increasing control and reducing the costs associated with unauthorised absence & lateness."
Alan Levett, Financial Director, Barndoc

Integrated with Rota Master
The development of this new and powerful add-on module for Rota Master has been driven by the Rota Master user base. IQUS discovered that many of the organisations they were working with were either living with manual time and attendance processes that were becoming cumbersome, or separate time and attendance software packages that were creating excessive duplication of effort. There was clear demand for a quality Time & Attendance module that would integrate fully with Rota Master and IQUS was pleased to fulfil this requirement. In close collaboration with users, the company’s skilled developers have created a brand new Time & Attendance Module fully integrated with Rota Master.

An Automatic Solution Driven By Fingerprint
Set up for this automated solution is quick and simple. Fingerprints are captured and linked to a unique identification number which is stored in your Rota Master database. As members of staff arrive and leave work they simply clock in and out by touching the fingerprint pad on the wall-mounted device. This completely eliminates the need for any human intervention or manual logging.

Completely Abuse Proof
Attendance is not always easy to monitor, especially in large organisations with disparate staff. Often with manual systems time and attendance policing can become emotive and open to abuse. The 'buddying' culture can lead to problems. Because it’s associated with pay, it is inevitable that people will cover for each other and find ways to beat the system. With this system once rules are set, as far as staff are concerned they are fixed. Management can alter them but staff will tend not to argue with a machine. Nor can they leave their fingerprint at home or borrow someone else’s. You will no longer be paying people for hours not worked.

Handling Exceptions and Automatic Pay Adjustments
Every organisation has its own unique rules and policies in place to deal with unauthorised absence and lateness. At the outset you can set the system according to these rules in terms of the level of lateness you are prepared to tolerate. When attendance times differ from scheduled times by more than your set allowances the system picks them up automatically and either automatically adjusts wages for lateness or highlights exceptions via a comprehensive exception screen for a manager to action. E.g. If someone arrives an hour early and sits in the canteen, drinking coffee and reading the paper before they start – they will not be automatically paid overtime. This anomaly is highlighted so that the manager can take appropriate action.

Increases Productivity & Delivers Cost Efficiencies
This module pays for itself in no time. Not only does it remove the need for the manual tasks associated with monitoring and policing time and attendance data which can be very time consuming, but it also allows you to improve punctuality and reduce unauthorised absences. E.g. For a provider that on average loses 3 minutes per shift and runs 200 shifts per week – this module will help them to recover £30,000 in just one year!

Highly Secure – Identity Verification
At sites where security is important, the fingerprint technology confirms the identity of the person gaining access to the premises. Particularly key for larger organisations where recognition by sight cannot be relied upon.

Powerful Reporting Functionality
This module comes with a suite of time and attendance reports that allow you to view your time and attendance data in different ways and see trend analysis. It also provides outputs to payroll packages via Rota Master.

Technical Description
This module, written in C# and based on Microsoft’s .NET Framework, is available on the cloud via a browser or as a traditional in-house managed installation. It provides access to attendance information, in real-time, around the clock using Web Services to transfer data to your Rota Master database. The hardware requires mains power but needs no connections to internal computer networks or telephone lines as it works via GPRS (mobile phone technology). This robust clocking in/out device incorporates the latest biometrics fingerprint recognition technology and can store data for up to 5000 unique fingerprints. It is fully supported 24/7.
